Privacy Policy

How we collect, use and protect your personal information

1. Who We Are

Shirt Printers is a trading name of A4 Apparel Ltd, a custom garment printing business based at Pottington Business Park, Barnstaple, Devon, EX31 1HN. We are registered in England and Wales.

For the purposes of UK GDPR and the Data Protection Act 2018, we are the data controller for the personal information we hold about you. If you have any questions about this policy or how we handle your data, please contact us at info@shirt-printers.co.uk.

2. Legal Basis for Processing Your Data

We require certain information to allow us to provide you with our services. For example, if you ask for a quote for our clothing decoration services, we need your name and contact details — such as an email address or telephone number — so we can deal with your request. If you don't provide this information, we won't be able to process your quote request or order.

3. What Personal Data We Collect

Making contact with us — for example by filling in a contact or quote request form, or via email — results in the collection, processing and use of your personal data for the purpose of dealing with your request and any future enquiries. This may include:

  • Contact name — used to service your enquiry and to make sure we're speaking to the right person
  • Contact company name (if provided)
  • Contact phone number (if provided) — used to call you to discuss your enquiry
  • Contact email address — used to send you details of the products or services you've enquired about
  • Date and time of your enquiry — used to service your order and as proof of enquiry for compliance purposes

To process your order, we may also collect:

  • Billing address — needed for card verification purposes
  • Shipping address — needed so we know where to send your order
  • Card details — not stored by us; held securely by our payment provider
  • Order history — details of any past orders you've placed with us
  • Marketing preferences — e.g. whether you've subscribed to our newsletter
  • IP address — stored on log-in attempts for security purposes
  • Blog comments — your name and email address if you comment on a blog post on our website
  • Reviews — your name may be recorded if you send us a review of our company or products. If you don't want your review published, you can ask us to remove it

4. Newsletter Sign-Up & Marketing Preferences

If you've consented to sign up for our newsletter, we'll email you from time to time with offers and promotions that may be of interest to you. If you'd rather not receive marketing emails, you can opt out at any time and you'll only receive emails relating to orders you've placed. Occasionally we may ask for your opinion on a particular subject and may publish your comments — if you tell us you don't want your comment or name published, we won't do so.

5. Where We Store Your Data

Your data is stored on our secured servers and within the company's internal network:

  • Protected by SSL security
  • Servers are configured with protection in mind and known vulnerabilities are shut off
  • Dedicated servers in a protected building, with no unnecessary external connections
  • Regular scans for viruses, hack scripts and vulnerabilities (e.g. XSS/CSRF)
  • Regular updates to server operating systems and software
  • Intrusion detection through monitoring of server logs

6. Keeping Your Data Safe

The personal data in your account can only be accessed by you, online, by entering your password. Any personal or payment details are encrypted when submitted to us or to our payment provider. We have strict guidelines and measures in place to prevent unauthorised access to your account.

We use up-to-date secure server software (SSL), which encrypts all information you submit before it is sent to us. As required by UK data protection law, we follow strict procedures for storing and disclosing the information you give us, to prevent unauthorised access. This means we may occasionally ask for proof of identity before disclosing sensitive information to you.

Paying by card via our payment provider is a secure way to pay for your order. We have a number of measures in place to give you confidence when paying for goods from us:

  • All sensitive information — including personal details and card information — is encrypted using our secure server software (SSL), so it can only be exchanged between you and us. The padlock symbol in your browser shows which pages are covered by this security.
  • Card, name and address details are held securely by our payment provider. We do not retain live card information on our web servers after a transaction is complete — you'll be asked for your payment details each time you order, unless you've set up an account with us and arranged an alternative payment method.

7. Sharing Your Data With Third Parties

We will only pass your personal data to a third party where they're involved in processing your order — for example couriers, card payment processors and banks. This data is used only to fulfil your order; we do not sell, trade or rent your personal information to advertisers or marketing companies.

We use Google Analytics to collect and store data in a pseudonymised way. You can prevent Google Analytics from collecting your data by installing the Google Analytics opt-out browser add-on, which places a cookie that stops future data recording. You can find out more in Google's Analytics Terms of Service and privacy & security principles. IP anonymisation is enabled in our Google Analytics account, so IP addresses are masked before being stored. You can adjust your browser settings to prevent the use of cookies, though most of our website may then be non-functional.

9. Social Login

We may offer the ability to log in to our website using a social media account (such as Facebook or Google), which requires your email address and provider identifier. You don't have to log in this way — an alternative log-in method is also available.

10. Consent

By consenting to this privacy policy, you give us permission to store and process your personal data for the purposes described here. Where we ask for sensitive personal data, we will always explain why and how it will be used. You may withdraw your consent at any time by contacting us, or by logging into your account and requesting that it be deleted.

11. How Long We Keep Your Data

We will keep your data until you ask us to remove it, or until you delete your account yourself. Order and transaction records may be retained for longer where we have a legal obligation to do so — for example, financial records are kept for 7 years for tax and accounting purposes.

12. Your Rights

  • Right to Access — you can access the personal data we hold by logging into your account, where you can download or request deletion of your data. Note that if you delete your data, you won't be able to log in again without creating a new account.
  • Right to Rectification — you can ask us to correct inaccurate or incomplete personal data.
  • Right to Erasure — in certain circumstances you can ask us to erase your personal data. We may retain data where there's a legal requirement to do so (e.g. for bookkeeping) or where there's an open dispute.
  • Right to Restriction — in certain circumstances you can ask us to restrict or suppress the use of your personal data, verbally or in writing.
  • Right to Portability — you can ask for the data we hold on you to be transferred to another organisation.
  • Right to Object — you can object to certain types of processing, such as direct marketing, by unsubscribing from a marketing email or adjusting your account settings.
  • Right to Object to Automated Processing — you have the right not to be subject to decisions based solely on automated processing, including profiling, that have a legal or similarly significant effect on you.
  • Right to Complain — if we refuse a request you've made under any of these rights, you have the right to lodge a complaint with a supervisory authority.

13. Complaints

If you wish to make a complaint about how your personal data is processed by us, or about how a complaint has been handled, you have the right to lodge a complaint directly with our Data Protection Officer or with the relevant supervisory authority.
